Preparing for Your Ceremony

Convocation Preparation Checklist

✅ Check the Order of Ceremony to make sure you know the date and time of your ceremony.

✅ Register for convocation when registration opens in early September. The deadline to register for Convocation is October 14, 2025 at 11:55 p.m. When registering, please provide pronunciation information for your name.

Order your guest tickets when you register for Convocation.

✅ If needed, make accessibility arrangements for you or your guests two or more weeks before your ceremony.

✅ Pre-register for your free 5x7" photo through Grad Images. If you don't register, you won't recieve your promotional code. 

✅ Order your Academic Regalia. The site will open on September 2, 2025 and the deadline to pre-order is September 30, 2025. Ordering ahead of time will save you the rental fee and expedite your pickup! We welcome students to wear their traditional Indigenous Regalia at their convocation ceremony.  If you plan to do so, notify the Convocation Team.

✅ If you want a graduation cap/mortar board for photos, order it ahead of your ceremony. You will not be allowed to wear it while you cross the stage.

✅ Review the Convocation Day Checklist in advance of Convocation so you know what you can and cannot bring with you, what to wear, and when and where to arrive. For example, graduates must leave all their belongings with their guests before entering the venue – tips for how to navigate this can be found in the Checklist.

✅ Don't forget to buy your Diploma Frame from the Bookstore.

International Student Convocation Checklist

If you are an International student looking to invite your family and/or friends to convocation, follow the steps below. For more information, you can visit the Western International website.

✅ Order your Official Western Letter on Student Center by choosing Convocation, Degree and Graduation > Degree and year awarded.

✅ Provide a copy of your study permit.

✅ Attending as an In Absentia graduate? Download the statement from Western for In Absentia Graduates before writing your Letter of Invitation.
