Spring Convocation 2012 will be held Tuesday, June 12th through Friday, June 15th and Monday, June 18th through Wednesday, June 20th. THIS GUIDE IS FOR: Name on Diploma Name on Diploma Undergraduate, Professional, Graduate, and all other graduating students: You must confirm your name which will appear on your degree by the deadline to apply to graduate. This deadline to confirm your name applies even if your program does not require you to 'apply' to graduate for your particular degree (e.g. Graduate students). Deadlines to apply are listed in the Academic Calendar. Students who wish to include a variation of their complete name for the purpose of their printed degree are required to complete a Name Change Request Form available at http://www.registrar.uwo.ca/student_records/updating_personal_information.html Mailing Address and Email Please confirm that your mailing address is correct on the Student Services website by March 15th for Spring (June) or September 8th for Autumn (October) convocations as this is where we will send any Convocation information. As well, be sure to check your uwo email for updates and information. Guest Tickets and RSVP It is not necessary for students to RSVP that they are attending the ceremony; however, it IS necessary for students to request online tickets for their guests in advance of attending the ceremony. Once online tickets are available, students planning to attend the ceremony must print off their tickets (please print one ticket per page), give them to their guests to bring on the day of convocation in order to gain admittance to the auditorium, space permitting. It is suggested that guests arrive early. Most
students will receive 4 guest tickets for their graduation ceremony.
Exceptions to this are students graduating from King’s University
College or from the Faculty of Education, who will receive 2 guest
tickets due to larger graduating classes. Questions about this may be
directed to your Faculty or School. Online tickets will be available at
the end of May, at www.convocation.uwo.ca. Tickets are NOT
transferable. Your guests may only use the tickets assigned to you. Your
guests may not use tickets from another student. Special Arrangements for guests (wheelchairs, etc…) must be made by contacting the Convocation Secretary at 519-661-2055 prior to June 1 for Spring or October 9 for Autumn. Regular tickets must be exchanged for reserved tickets. Extra reserved tickets will not be issued. Spring Convocation Autumn Convocation The doors of Alumni Hall will open at 8:45 am. for morning ceremonies and at 1:45 pm. for afternoon ceremonies. After 9:30 am for morning ceremonies and after 2:30 pm. for afternoon ceremonies, tickets will no longer guarantee a seat for guests and guests will only be admitted if space is available. Once the capacity in the main auditorium has been reached all guests including those holding tickets will be seated in an overflow room to watch the ceremony via direct video stream. Due to the length and nature of the Convocation ceremonies, we strongly suggest that if possible parents should avoid bringing babies and young children with them. In the interest of all concerned, ushers will not permit seats to be held for late arriving guests. After the Academic Procession has entered the auditorium, the doors will be closed and latecomers will be admitted only during appropriate pauses in the ceremony. Extra Tickets If extra tickets become available for the Spring ceremonies, they will be released to the Dean's Offices in the Faculties. Students should check with their Faculty to see if extra tickets are available and how to request them.Students in Social Science and Science should contact their Department for extra tickets. If available, extra tickets are on a first-come, first-serve basis. Tickets are NOT

guests may not use tickets from another student. Academic Regalia (Gown and Hood) All candidates attending a convocation ceremony must wear academic regalia before entering Alumni Hall. The academic regalia of all The University of Western Ontario degree programs includes a gown and hood for your degree. Hoods are not required for candidates from diploma and certificate programs, but it is permissible for them to wear hoods from previously earned degrees. All candidates for degrees have the right to wear a mortarboard on stage. Candidates for degrees DO NOT wear previously earned hoods. Gown and Hood rental is available online at http://www.gaspard.ca/Western. You can arrange for your gown and hood rental between Sunday, September 11, 2011 and midnight Sunday, October 16, 2011. Online regalia rental fee is $45.00 (tax included; payment by credit or debit card); students who do not reserve their regalia online will pay $60.00 at the time of pick up (payment is by cheque, debit card or credit card). Academic Regalia Pickup: Your regalia is available on the day you graduate at Book Store Extras, UCC, Room 35, Lower level (across from The Book Store). Pick Up for Morning Ceremonies: 7:30 am. If you are graduating in the afternoon ceremony, you should pick up your regalia after 10:30 am to allow the morning ceremony graduands the ability to meet their time frame. Academic Regalia Returns: Regalia must be returned to Room 35 Lower Level, UCC, by 6:00 pm Ceremony Information Assembly for June Morning Ceremonies: 8:45 am Assembly for October Morning Ceremonies: 8:45 am Personal belongings must be left with an attendant in Alumni Hall, Room 15, and picked up after the Convocation ceremony. Graduands may wish to leave belongings (such as purses, umbrellas, etc…) with relatives before entering Room 15. Accessibility Services and Students or Guests with a Disability Candidates with disabilities (blind, wheelchair, crutches, etc…) requiring special arrangements for marshalling across the stage are asked to contact the Marshal of Convocation, c/o Convocation Board of Senate, Room 290, Stevenson-Lawson Building, before June 1 for Spring and October 9 for Autumn, or email nmartine@uwo.ca with the subject line: Graduation Accessibility. Special Arrangements for guests (wheelchairs, etc…) must be made by contacting the Convocation Coordinator at 519-661-2055 prior to June 1 for Spring or October 9 for Autumn. Regular tickets must be exchanged for reserved tickets. Extra reserved tickets will not be issued. DVD To order a DVD copy of your ceremony, complete and submit a Convocation DVD Request Form. DVD copies of the 2011, 2010, 2009, and 2008 Spring and Autumn Convocations are available. To purchase a DVD of the available Convocation(s), you must fax, mail or come in-person to drop off your form to Student Central, Room 1120, Western Student Services Building. Details and costs are on the form. DVD costs are $20/ceremony DVD + mailing charges. DVDs will be available 4-6 weeks after the requested Convocation date. Not attending your Convocation? How to receive your diploma. Diplomas are retained in the Office of the Registrar for two years after Convocation. If a student did not attend Convocation, the diploma can be picked up in person from Student Central, Room 1120, Western Student Services Building 3 business days subsequent to the appropriate ceremony. Diplomas collected in person are released for no charge. For Graduates who are unable to pick up their diplomas, please see the 'Your Diploma' section for more information. Campus Map Click here to view the main campus maps, including maps for parking. Parking Guests should park at the Medway Parking Lot – behind Elgin Hall (http://www.geography.uwo.ca/campusmaps). Parking will be free of charge on a first-come first-served basis. Shuttle service will be provided between Alumni Hall and the Medway Parking Lot at no charge. Accessible parking is available in the Alumni Hall parking lot. Flowers Friends and relatives wishing to send flowers to graduates are requested to have them delivered to Room 15 (lower level) Alumni Hall before 11:00am (morning ceremony) or 4:30pm (afternoon ceremony). The flowers should be picked up by in that area immediately following the ceremony. February 'In Absentia' graduates February graduates will be automatically sent convocation information for the June ceremony and their name will appear in the June Convocation Program. There is no ceremony for the February In-Absentia Convocation. Students who graduate at the February In-Absentia Convocation will automatically be invited to attend the June Convocation Ceremony. Their names will also appear in the June Convocation Program under the Faculty from which they received their degree. Students who graduated in the February In Absentia Convocation may participate in the June ceremony immediately following.

Hong Kong Convocation
For the Spring (June) Ceremony, online tickets will be available from this site at the end of May. Seating at the ceremony is on a first-come, first-served basis.
For the Autumn (October) Ceremony, online tickets will be available from this site starting mid-October. Seating at the ceremony is on a first-come, first-served basis.
